Check-in & Boarding
 

Edmonton, Vancouver and Kelowna

Check-in closes 45 minutes before departure. Once check-in closes, you will not be able to board the aircraft. Passengers should arrive at least one hour prior to departure time. In Edmonton, the check-in counter opens two hours before departure.

For check-in you will need to:

  • Show your valid government-issued photo identification
  • Bring proof of your reservation confirmation
  • Ensure your bags are tagged with your proper name and contact information. Your luggage will be tagged and you will receive a boarding pass (seats are not assigned). The customer service agent will provide instructions on boarding the plane.

All other terminals

Check-in closes 30 minutes before departure. Once check-in closes, you will not be able to board the aircraft. Passengers should arrive at least one hour prior to departure time.

For check-in you will need to:

  • Show your valid Suncor picture identification badge or government-issued photo identification
  • Bring proof of your reservation confirmation
  • Ensure your bags are tagged with your proper name and contact information. Your luggage will be tagged and you will receive a boarding pass (seats are not assigned). The customer service agent will provide instructions on boarding the plane.

 All baggage must be tagged with your:

  • name
  • employee number/employer
  • and contact information

Bags will be weighed at check-in. Total baggage weight restrictions are:

  • Checked bags – 27 kg/60 lb.
  • Carry-on baggage – 10 kg/22 lb.

You are permitted one carry-on bag and one personal item on board. Examples of personal items include, but are not limited to, a laptop, briefcase or purse. All carry-on bags together must meet the weight restrictions above. Your carry-on bag must meet the size of 25 cm x 36 cm x 48 cm. Please note – this is smaller than airline standard due to varying size of Suncor’s aircraft. Your personal item must meet the size of 16 cm x 37 cm x 43 cm.

There is no limit to the number of checked bags you may travel with; however, all checked bags together must meet the weight restrictions above.

For security purposes, you should only check in baggage that you know the contents of and that belong to you.

Job tools are allowed in checked baggage only, except those powered by lithium ion batteries. Tools with lithium ion batteries must be declared when checking in. These tools must be carried on board and will form part of your carry-on allowance. Whenever possible, please arrange with your employer to transport your tools separately or store your tools at site between shifts.

Lithium-ion batteries pose a safety risk when not in a device (i.e. fire hazard). You are allowed a maximum of one (1) spare battery and it must be stored in your carry-on bag. If you have any questions, please contact your travel coordinator at least 24 hours before departure.

Extra Baggage

We understand that sometimes you may need to check in extra baggage. Have your travel coordinator contact Suncor’s Transportation Department  to request an increase to your baggage allowance. Requests must be made a minimum of 24 hours before departure and include:

  • passenger name
  • employer name
  • flight number
  • flight confirmation number

This request can only be approved by Suncor Transportation.

Lost Baggage

Suncor is not responsible for lost, misplaced, stolen or damaged baggage.

If an item is lost or misplaced, you must file a missing baggage report with the customer service agent at the arriving location within 24 hours of your arrival. You must complete the report in its entirety with all of your contact information and a description of the misplaced item(s).

Should the item be located it will be transported to you as soon as possible.

Allowed/Prohibited Items

Suncor is not authorized to transport dangerous goods or hazardous materials. Under no circumstances shall dangerous goods or hazardous materials be loaded onto a Suncor flight. Contact your travel coordinator at least 24 hours before departure if you have any questions as about whether an item is considered to contain dangerous goods.

Baggage must meet the requirements of both CATSA (Transport Canada) regulations and Suncor's policies.

ID Requirements
 For departures from Edmonton, Vancouver and Kelowna, you must show valid government-issued photo identification in order to board the flight.

Your Suncor identification (ID) badge must be visible at all times while travelling on a Suncor flight.

This includes:

  • check-in
  • boarding
  • in-flight
  • while travelling between Firebag Aerodrome and your assigned lodge

Security officers will check for your ID badge when you arrive and depart from the Firebag Aerodrome.

If you’re new to the site, you may show government-issued photo identification (driver’s licence, passport, etc.) to security officers.

Security

Transport Canada and Suncor have policies and procedures to provide for the safety and security of all passengers. Passengers who disregard these policies will be denied travel and banned entry to a Suncor site. Illegal activities, including possession of any illegal item, or unsafe or unruly behaviour, will be reported to the authorities (e.g., local police).

Screening and search

Security officers will perform routine random searches of passenger property including carry-on or checked baggage. A search will be conducted should an item of concern be identified as being present in your baggage.

Aviation security enhancement at the Calgary Executive Flight Centre (EFC) includes x-ray screening of all checked baggage, and random searches of passenger and carry-on baggage, which may involve the use of sniffer dogs. In Edmonton, Suncor passengers have their checked baggage pre-screened at check-in for Suncor restricted items, as well as going through full baggage screening and regular airport security checks as required by CATSA regulations.

Safety

For the comfort and safety of all passengers, prohibited behaviours are described as, but not limited to:

  • wearing headsets or using electronic devices while walking across the ramp, or when instructed not to do so by a crew member
  • boarding a Suncor flight while not "fit to fly", including being under the influence of drugs or intoxicated.
  • using alcohol or drugs during the flight
  • possessing alcohol on your person or in your carry-on bags/baggage
  • possessing drugs or drug paraphernalia on your person or in your carry-on bags/baggage
  • carrying a weapon or any dangerous item on board a Suncor flight
  • harassing ground crews, flight crews, security officers or other passengers
  • fighting or participating in a confrontation
  • threatening staff or other passengers
  • making jokes about security, bombs or terrorism
  • smoking on the flight (including e-cigarettes) or tampering with smoke detectors
  • ignoring instructions by flight crews, ground crews or security officers
  • vandalizing the aircraft or any Suncor property
  • participating in any illegal activity

Seatbelt extensions are not permitted for use in the emergency exit row due the potential tripping hazard. If you require a seatbelt extension, please notify a flight attendant and they will assist you.

Medication

  • Ensure that all prescription and non-prescription medications are kept in their original containers and are clearly labelled as to their contents. In the case of prescription medication, the passenger’s name must be on the container or the passenger must present proof of prescription, as per Suncor’s Medication Standard (CO-S23)
  • We understand that travelling with medication may be required. Passengers will help expedite the screening process by adhering to the medication standard

Parking

There is limited parking available at departure airports. We encourage all passengers to make other arrangements, be it taxis or shuttle buses.

In Calgary, parking at the Suncor Aviation Centre is available to Suncor employees and embedded contractors who require parking for five days or less and do not participate in a fly-in / fly-out program. Employees must have a pass to park there. Parking is available at the Executive Flight Centre parking lot for employees and contractors who receive a travel allowance, require parking for more than five days, or participate in a fly-in / fly-out program.
